BILLING CYCLE EXPLAINED

Billing Cycle & Customer Account Requirements:

To ensure uninterrupted enrollment and consistent scheduling, a valid credit card must be kept on file at all times. Ongoing swim lessons are billed on a four-week billing cycle. A $3.50 facility fee per student is applied each billing cycle in addition to lesson tuition. Families will receive a billing reminder via email and text message one week prior to each billing date. If a payment is rejected during billing, a $25 rejection fee will be applied to the account. 


Withdrawing from Ongoing Swim Lessons and the Billing Cycle: 

To withdraw from ongoing swim lessons and the 4-week billing cycle, the Withdrawal Form must be received by no later than 8:00 AM PST on the last day of the current billing cycle. We are unable to offer reimbursements or financial credits for lessons that have already been billed within the current cycle.

  • Wednesday, January 14 - Withdraw From due by 8:00 AM on January 13
  • Wednesday, February 11 - Withdraw From due by 8:00 AM on February 10
  • Wednesday, March 11 - Withdraw From due by 8:00 AM on March 10
  • Wednesday, April 8 - Withdraw From due by 8:00 AM on April 7
  • Wednesday, May 6 - Withdraw From due by 8:00 AM on May 5
  • Wednesday, June 3 - Withdraw From due by 8:00 AM on June 2
  • Wednesday, July 1 - Withdraw From due by 8:00 AM on June 30
  • Wednesday, July 29 - Withdraw From due by 8:00 AM on July 28
  • Wednesday, August 26 - Withdraw From due by 8:00 AM on August 25
  • Wednesday, September 23 - Withdraw From due by 8:00 AM on September 22

COMMON QUESTIONS

  • Can I place my lesson payments on hold instead of withdrawing?

    To keep scheduling fair and consistent for all families, AquaTech does not hold lesson spots without payment.


    If your family needs to take a break from lessons, you have two options:


    Option 1: Stay Enrolled and Keep Your Spot


    You may choose to remain enrolled and continue paying for your swimmer’s lesson spot while you are away.


    This guarantees that your swimmer’s current class day and time remain reserved. If you report absences in advance according to our absence policy, makeup tokens may be issued for use when you return.


    Option 2: Withdraw and Re-Register Later


    If you do not want to continue paying while you are away, you may withdraw from lessons.


    Please note that once you withdraw, your swimmer’s spot will be released. Re-enrollment will depend on class availability at the time you return. Because unpaid lesson spots are not held, we cannot guarantee that the same class day, time, instructor, or level will be available later.

  • Can I pay for lessons with cash or check?

    AquaTech does not take payment for services in the form of a check. 


    To maintain continuous enrollment in lessons, all customers are required to have a valid credit or debit card on file—even if they prefer to pay by cash.


    💵 Paying with Cash


    Cash payments must be made before the billing date to avoid charges to the card on file. Any cash paid in advance will be applied as a credit toward your upcoming billing cycle. We send reminder a text and email one week before to the billing date to help you stay on track.


    💳 Automatic Credit Card Charges


    If a cash payment has not been received by 8:00 AM PST on the final day of the current billing cycle,  for the upcoming cycle, the credit card on file will be automatically charged to prevent disruption of enrollment.


    📅 Paying in Advance


    Prefer to plan ahead? You can prepay 2–3 months in advance by cash/card. When choosing this option, we’ll set a drop date for the end of your prepaid period. To continue lessons without interruption, the next payment must be made at least one week before the upcoming billing cycle.

  • How can I access my transaction history, make payments or update my payment method?

    To access your transaction history, make payments, or update your payment methods, please follow these instructions:

    • Visit the Customer Portal
    • Choose the "My Account" option and then select one of the following:
    • Payments to view your payments, credits, and update your stored payment information.
    • Transaction History to view all of your previous transactions.
